This is a temporary full-time position due to a leave vacancy.

Reporting to the University Librarian, the Administrative Coordinator is a dual role, responsible for overseeing the day-to-day acquisitions and other administrative functions within the library, as well as responsible for providing administrative support to the Associate Vice-President, Student and Academic Services.  In this role, as a member of the Library team, you will also provide support for non-print, standing order and special order acquisitions of the library, including: placing, monitoring, and receiving orders, verifying costs and condition of materials, obtaining rights as appropriate, communicating with the University Librarian and with vendors.  In addition, you will be responsible for routine management of serials and standing orders, including check in, claims and invoices and will provide support at the service point by circulating library materials and handling cash transactions and routine inquiries. 


To be well suited to the role you will possess the following qualifications and competencies:

  • An undergraduate degree in a relevant field and a minimum of 3 years’ experience in the areas of administrative support and project management or equivalent combination of education and experience.
  • Strong administrative skills, including some budget management, records management, calendar management, and correspondence tracking.
  • Experience with purchasing as well as basic accounting skills and financial literacy, being defined as having the ability to read and understand basic financial statements. 
  • Advanced proficiency in the use of MS Office applications, including Word, Excel, PowerPoint, Outlook and other applications.  Some experience with financial management systems (Agresso preferred).
  • A minimum of 3 years’ experience providing high quality direct customer service as a primary role responsibility; strong client focus.
  • Demonstrated experience managing a demanding workload, demonstrated skill and the ability to perform a wide range of activities and procedures that require both technical proficiency and the capacity to apply and adapt skills depending on the circumstances.
  • Demonstrated ability to work both independently and on a team, with a proactive service-oriented approach when liaising with clients and anticipating issues or operational needs, including the appropriate follow up to ensure goals and objectives are met.
  • Well-developed, effective communication and interpersonal skills.  Proven ability to liaise with clients and stakeholders, managing issues of a sensitive nature and resolving conflicts in a professional manner.
  • Strong analytical and problem solving skills with ability to implement course of action or make recommendations.
  • Excellent organizational skills with strong attention to detail and a high level of accuracy.
  • Demonstrated use of good judgment with ability to make decisions within scope of the position.
  • A Library Technician diploma and/or a minimum of 3 years’ experience in a library environment (prefer post-secondary), working in various functional areas with increasing responsibility or an equivalent combination of training and experience would be a strong asset.

This is a temporary full-time position working 37.5 hours per week on campus for approximately 14 months.  The position has been evaluated at Grade 3 with a recruitment range that starts at $42,864 per annum.  The university is pleased to offer a percentage of salary in lieu of vacation.
