Job description: 

This is a replacement recruitment of an existing position.

Reporting to the Director of Continuing Studies (CS), the Continuing Studies Associate supports a wide array of requirements for the office administration including telephone inquiries, registrations and invoicing, room bookings, scheduling and correspondence management in addition to the day-to-day operations of CS. He/she presents a professional front-line image and facilitates communication between the CS office and their various constituents, most importantly, students in CS programs to ensure that all parties feel well served with needs met. He/she has a primary responsibility as the first point of contact for all departmental inquiries via the phone, fax, email and Internet and must respond/re-direct all inquiries in a respectful, friendly and timely manner – within one business day. This involves clearly and effectively conveying information, answering inquiries and decision-making, as necessary with both external and internal associates, facilitators, stakeholders, and students of Royal Roads University (RRU) on behalf of the department and the Director.

In further support of CS, the Continuing Studies Associate liaises with the finance department to ensure all transactional requirements are effectively managed, with regard to the registration system with support and direction from management.

Qualifications:

  • 3-5 years administrative experience
  • Exceptional communication and interpersonal skills
  • Ability to comprehend and follow detailed instructions and to adapt to new situations and learn quickly
  • Attention to detail and a high level of accuracy is essential
  • Outstanding customer service philosophy and a commitment to excellence
  • Experience in serving the public and with conflict resolution skills. Acts with tact and diplomacy under pressure
  • Ability to judge and make decisions within the scope of the position knowing when to escalate issues to a higher level. Ability to analyze, interpret and implement a course of action or make recommendation, ask for assistance
  • A genuine team-player who will pitch in to help when necessary
  • Ability to demonstrate independent initiative, and thrive in a dynamic and evolving work environment in a positive and flexible, client-focused way
  • Superb organizational and time management skills, competent self-starter
  • Skilled in Internet searches and organizing information retrieved
  • Background in basic accounting practices helpful
  • Proficient computer skills, including: MS Word, Excel, PowerPoint, Outlook, CMS, EMS, and AGRESSO
  • Knowledge and/or experience with continuing studies and university level learning

This is a regular full-time position working 37.5 hours per week, with a recruitment range that starts at $38,120 per annum. The University is pleased to offer a comprehensive benefits package.
